Refund Policy

1. Introduction

This Refund Policy explains the circumstances under which Form and Flame Ltd (“we”, “us”, “our”) will issue refunds for executive coaching services (“Services”) provided to clients (“you”, “your”). It should be read alongside our Terms & Conditions.

2. Coaching Services

2.1 Our Services consist of scheduled coaching sessions and related materials.
2.2 Because executive coaching involves advance preparation and allocated time, refunds are not automatically granted once a session is booked.

3. Cancellations by the Client

3.1 You may cancel or reschedule a session by providing at least 72 hours’ written notice.
3.2 Where you provide at least 72 hours’ notice, you may choose either:

• A full refund of the session fee, or

• To reschedule the session without charge.

3.3 Sessions cancelled with less than 72 hours’ notice are non-refundable and may be charged at the full rate.

4. Cancellations by Form and Flame

4.1 If we need to cancel a session for any reason and are unable to offer an alternative time, you will receive a full refund for that session.
4.2 We will not be liable for any indirect costs (such as travel, accommodation, or lost income) incurred by you in relation to a cancelled session.

5. Programme Packages / Prepaid Sessions

5.1 If you purchase a package of multiple sessions in advance, you may cancel the unused portion by providing 30 days’ written notice.
5.2 Refunds for unused sessions will be calculated on a pro rata basis, less any discounts applied at the time of purchase.

6. Refund Method

6.1 Approved refunds will be made using the original payment method unless otherwise agreed in writing.
6.2 We will process refunds within 14 days of confirming eligibility.

7. Exceptional Circumstances

7.1 We reserve the right to consider refunds outside the above policy on a discretionary basis in cases of serious illness, emergency, or other exceptional circumstances.
